Getting Started
Go from signup to your first deal in under 10 minutes. No training required — CRMown's AI handles the heavy lifting.
1. Create Your Account
1Choose your plan
Visit crmown.com and select Starter ($80/mo), Pro ($180/mo), or Max ($397/mo). All plans include the full AI-powered core platform. You can also choose the Own option for a one-time purchase.
2Complete payment via Stripe
Enter your payment details. We accept credit/debit cards and ACH bank transfers (for Own purchases). Promo codes are accepted at checkout.
3Set up your organization
After payment, you'll land on the Welcome page. Enter your name, organization name, and set your password. You'll be automatically logged in and taken to the dashboard.
2. Connect Your Workspace
CRMown syncs with Google Workspace and Microsoft 365 to keep your email, calendar, and tasks in one place.
1Go to Settings → Communications
Click "Connect Google Workspace" or "Connect Microsoft 365". You'll be redirected to Google/Microsoft to authorize access.
2Grant permissions
CRMown requests access to Gmail, Google Calendar, and Google Tasks (or Outlook equivalents). Your data stays encrypted and is never shared.
3Automatic sync begins
Emails sync every 3 minutes, calendar every 5 minutes, and tasks every 5 minutes. You'll see your existing emails and calendar events appear in CRMown within minutes.
Tip: You can also connect a custom IMAP email server if you don't use Google or Microsoft.
Bring your existing contacts into CRMown from any CRM or spreadsheet.
1Go to Contacts → Import
Click the Import button at the top of the Contacts page. Upload a CSV file exported from your previous CRM (HubSpot, Salesforce, Zoho, Pipedrive, or any spreadsheet).
2AI maps your columns automatically
CRMown's AI reads your column headers and maps them to CRM fields. It supports 32+ fields including name, email, phone, company, revenue, social links, and custom fields. You can review and adjust any mapping.
3Review and confirm
Preview the mapped data, then click Import. Contacts land in the "Stage" pipeline column — drag them to the correct stage once reviewed. Duplicates are detected automatically.
Tip: You can view all past imports at Dashboard → Import History, including diff views showing what changed.
4. Set Up Your Pipeline
Your pipeline is where deals flow from first contact to closed-won.
1Visit the Pipeline page
CRMown creates a default pipeline with stages: Stage → Lead → Qualified → Opportunity → Customer → Advocate → Churned. You can rename, reorder, or add custom stages.
2Drag contacts between stages
The kanban board lets you drag contacts between stages. Deal values, probabilities, and expected close dates are tracked per contact. AI can suggest stage changes based on activity.
3Use Smart Views for custom filters
Create saved views with multi-condition filters — filter by stage, lead score, source, tags, custom fields, and more. Smart Views are shareable with your team.
5. Connect Messaging
Send emails and SMS directly from CRMown. All conversations appear in a unified inbox.
Email
Once your workspace is connected (Step 2), email is ready. Compose from any contact's profile, or use the Conversations page for your unified inbox. AI drafts replies based on conversation context.
SMS & WhatsApp
Go to Settings → Communications and enter your Twilio credentials (Account SID, Auth Token, Phone Number). CRMown verifies your connection and you can send a test SMS immediately. WhatsApp Business is available with the Comm Pro suite.
Tip: CRMown injects tracking pixels and link tracking into outbound emails automatically. View opens and clicks on the Behavior tab of any contact.
6. Using AI Features
AI is built into every part of CRMown — it's not an add-on. Here's how to use it:
⌘KAI Command Bar
Press Ctrl+K (or ⌘K on Mac) from anywhere to open the AI command bar. Type natural language commands like:
• "Move all leads with score above 80 to Qualified"
• "Create a task to follow up with Sarah next Tuesday"
• "Show me contacts in Texas who haven't been contacted in 30 days"
The AI executes bulk operations, creates tasks, generates smart views, and more.
💬AI-Powered Drafts
When composing emails or SMS, click "AI Draft" to generate a professional message from a short prompt. AI considers the contact's history, deal stage, and recent activity.
📊AI Analytics
On the Analytics page, type plain English questions like "What was our conversion rate this month?" or "Which lead source has the highest close rate?" AI generates answers from your real data.
🔔AI Approval Queue
When AI suggests autonomous actions (not triggered by you), they appear in the AI Actions page for review. Approve or reject each action before it executes. Full audit trail included.
7. Invite Your Team
1Go to Settings → Team Members
Click "Invite Member" and enter their email. Choose their role: Admin, Director, Team, Support, Partner, Viewer, or create a custom role.
2Set permissions
Roles control module access (which pages they see), action permissions (create/edit/delete), and field visibility (which contact fields are visible or hidden per role).
8. Activate Add-On Suites
Your plan includes the full core platform. When you're ready for more, activate add-on suites:
- Automation — Workflow builder, triggers, email/SMS sequences, execution history
- Marketing — Campaigns, drip sequences, social planner, blog CMS, AI content
- Web Studio — Website builder, funnels, forms, surveys, polls
- Finance — Invoicing, proposals, payments, P&L reporting
- Growth — Review management, referral programs, affiliate tracking
- Education — Course builder, memberships, communities
- Client Hub — Document vault, client portal, contracts
- Comm Pro — Team chat, VoIP, voicemail, WhatsApp Business, BYOC
- Calendar Pro — Event ticketing, group booking, field ops, GPS tracking, mileage
Activate suites from Settings → Billing. Pro plans include 4 suites ($50/mo per additional). Max includes all 9.
